Tracking Government Licenses: Why Spreadsheets Fail

Most companies have a spreadsheet named something like "Licenses and Documents". A diligent employee created it one day and recorded the commercial registration, the municipal license, the zakat certificate, and employee iqamas with their expiry dates. The sheet works well in its first weeks, then quietly goes stale: a document gets renewed and its date is never updated, another arrives by email and never reaches the sheet, and a new employee doesn't know the sheet exists at all. Tracking government licenses this way doesn't fail loudly; it erodes until it lets you down at the exact moment you need it.

The sheet records, it doesn't follow up

The core problem is that a spreadsheet is a passive container. It stores the date you typed, but it alerts no one when that date approaches. A shared sheet turns into copies over time: one with the accountant, one the HR manager edited on his own machine, an old one attached to an email. When the general manager asks "when does the municipal license expire?", two different answers come back from two different sheets, both confident. Worse than the copies: the sheet records the document's data but never holds the document itself. When someone needs the scanned license for an urgent transaction, a second search begins across email and shared folders for the latest copy.
